Accessing your information
You have the right to access the personal information that UTS holds about you.
You can gain access to your information directly (through staff or student systems), through contact with the relevant area of UTS that holds your information and through formal access applications. You also have options for requesting access to your information if your initial access request has been denied.
Direct access to your information
Students
See student records for enrolment verifications and statements, and information on how to access your student records. You can also find out more about:
- your academic record
- your AHEGS and testamur, and
- accessing your academic records via My eQuals.
To access any other information held about you by other areas of UTS, you will need to request access from the relevant area that holds the information.
Staff
If you are a current UTS staff member, some personal information relating to your employment at UTS can be accessed in NEO or Ascender (available at UTS Payroll).
Past staff members including contractors will not have access to the NEO system. To access information your staff information, contact the People Unit.
Access to your UTS staff file can be arranged by contacting the People Unit.
To access any other information held about you by other areas of UTS, you will need to request access from the relevant area that holds the information.
Other individuals
To gain access to your personal information, you need to contact and request access from the UTS area that holds the information.
For assistance with direct access
The UTS Privacy Officer can assist you in identifying the relevant UTS area you should contact to request access to your information.
Formal applications to access your information
If your initial request to access your personal information has been denied, you can make a formal application by putting your request in writing to the area concerned.
Your formal access application should include:
- details of the information you are requesting access to
- proof of your identity, and
- a statement that you are applying for access under the following act(s):
- Privacy and Personal Information Protection Act 1998 (NSW) if applying for access to your personal information, and/or
- Health Records and Information Privacy Act 2002 (NSW) if applying for access to your health information.
Access requests that have been denied
If access to your personal information has been refused, your options may include the following.
Consultation with the UTS Privacy Officer
The UTS Privacy Officer may be able to liaise with the relevant area on your behalf to facilitate access. This will depend on the nature of the information you are requesting and its availability.
Formal application for access under the GIPA Act
You may be able to apply to access your information through the formal access application process under the Government Information (Public Access) Act 2009 (NSW).
This option is not the recommended way to access your own personal information. However a formal access application under GIPA may be required if there are questions over whether the information requested is your personal information, or where it may also contain another person's information.

Application for an internal review
You may be able to apply for an Internal Review of the decision to refuse access under the following Act(s):
- Privacy and Personal Information Protection Act if requesting access to your personal information, and/or
- Health Records and Information Privacy Act if requesting access to your health information.

Note: In this section on privacy at UTS, the term ‘personal information’ refers to both personal and health information, unless specified otherwise. Both terms are explained in Privacy definitions.
