WHY WE NEED PERSONAL INFORMATION AND HOW WE USE IT
The personal information that we collect from you is required for the following purposes:
- To confirm your identity and your eligibility to apply for accommodation. This assessment includes consideration of any special needs or matters that may support your claim for selection.
- UTS Housing Service may, from time to time, take photographs/videos of events and activities in which residents of UTS Student Residences may participate. These images may be used by UTS for promotional and operational purposes including but not limited to: marketing, publicity, website, social media, maintenance, housekeeping etc.
- We continue to use this information to:
- Maintain our relationship with you as a resident of UTS residences
- Maintain records for the proper administration and operations of UTS residences
- Comply with legislative and regulatory requirements
- Conduct our business of providing accommodation and associated services and performing our internal administration and operations
- Ensure safe, comfortable, quality and affordable housing options
- For UTS Security and Housing Service staff to be able to confirm your identity for purposes of key replacement, access to buildings and other security related matters.
HOW WE COLLECT YOUR INFORMATION
We collect information either directly from you or from other areas of the University of Technology, Sydney such as the Student Administration Unit to whom you have provided information.
ACCESS TO YOUR INFORMATION
Whilst you reside in UTS Residences, if UTS Housing becomes concerned about your behaviour affecting your wellbeing or the wellbeing of others living in the UTS Residences, UTS Housing will contact and seek assistance from anyone who can reasonably assist in ensuring you and/or others are safe. This may involve providing them with personal or health information or reports from others concerned about you.
We will not share your personal information with any other person or party, unless the disclosure is:
- required by law
- authorised by law; or
- you have consented to our disclosing the information about you.
Under the NSW Privacy and Personal Information Protection Act (opens external website), you have the right to obtain a copy of any personal information that UTS Housing Service holds about you. This allows you to satisfy yourself about the information we hold and that it is accurate. If you believe the information is incorrect you can request that it be amended. You will need to apply for this information and we will respond promptly.
UTS trains those staff who handle personal information to respect the right to privacy of individuals. If you believe that a breach of your privacy has occurred you should promptly inform the Director of Student Services on 02 9514 1177 and the matter will be investigated.
OPTIONAL PROVISION OF SENSITIVE INFORMATION
The following information is optional. We ask you to provide it for the reasons indicated:
- Nationality, religious beliefs, age and other demographics, for the purpose of allocating accommodation that best fits your needs and maintaining our relationship with you,
- Health, if you are involved in a medical emergency.
A decision not to provide this information will not affect the assessment of your application.
Fields in the records system used to collect and store this information are clearly labelled. If you complete these fields, we understand that you consent to the collection of this information.
You also can request for information provided under this section to be removed at any time.
INFORMATION SECURITY
UTS Housing Service has established administrative and IT systems to keep the data you provide to us secure. We take all reasonable precautions to protect information from loss, misuse or alteration.
RESIDENTIAL ALUMNI DATABASE
You will be asked when you give notice of your departure from UTS Residences whether you wish to have your basic contact and other information kept on the Residential Alumni Database. The database is used by us to keep in touch with you.
