Mobility terms and conditions
At UTS we want all students to think global. UTS Global Mobility Programs aim to provide our students with safe, supported, enjoyable and enriching educational experiences that contribute to personal and professional development, create opportunities and global linkages for the future.
As with all programs there are a number of terms and conditions you will need to understand and agree to in order to participate when you apply.
Check out a summary of these below.
1. COVID-19
To participate in a UTS global mobility program, you must meet all requirements to be ‘fit to travel’, so that you can receive a visa, fly to, enter and study at the host location, including but not limited to:
- holding valid vaccination(s) approved by relevant authorities in the host location
- undertaking required tests pre-departure
- disclosing and completing pre-travel medical assessments for any pre-existing conditions
- meeting relevant quarantine requirements in the host location and, if applicable, upon re-entry to Australia
- undertaking any quarantine requirements
- meeting visa conditions of the host location
- complying with host university conditions
These requirements are subject to change in accordance with Australian state or federal government or host government advice, and you will need to be responsible for complying and meeting costs for these.
Due to COVID-19 travel and safety conditions, government or visa restrictions, UTS or my host university may need to vary or cancel the Exchange Program.
UTS recommends that you use a travel agent to make reservations, so you can seek assistance and support with re-booking flights if required, and notes that you shouldn’t make any non-refundable travel or accommodation arrangements until:
- all relevant travel bans have been lifted;
- your host country student visa has been granted; and
- you are able to travel to your host destination.
If you do so then UTS will not be liable for any costs you incur.
Finally, while we hope this doesn’t happen, but due to COVID-19 travel and safety conditions, government or visa restrictions, UTS or your host university or partner may need to vary or cancel the program, which may delay your graduation or study progression.
2. Your responsibilities
UTS global mobility programs work by us maintaining great partnerships globally, so as a participant in the programs we need to make you aware of your responsibilities.
You are expected to be of good character, and be prepared to be an excellent ambassador for UTS while on your experience. UTS Student Rules apply while you’re on our programs, alongside the host university or partner’s rules and regulations.
Don’t forget that host country laws apply to you while on your experience, and these may be different from those in Australia.
Key to the experience is your studies, so you will have to complete all parts of the overseas program as UTS and your host requests, to receive academic credit.
You will need to cover your own program related personal expenses, including host location accommodation, flights, visas, and any quarantine requirements. Sometimes host locations may have non-tuition charges for insurance, student unions and amenities you will need to pay too.
If you have pre-existing medical conditions, or require accessibility and support services overseas, you will need to let us know so that we can check on options and supports at the host partner.
If you receive a scholarship or travel grant there may be additional conditions and requirements to comply with.
3. UTS support
The global mobility program will offer a range of services and supports to assist with your application, nomination or endorsement to study at one our global partners, including the UTS CareerHub and Moveon Application portal.
If you’re nominated or endorsed, we aim to ensure you have a safe, supported, valuable study experience credited to your UTS degree.
For your safety during the program, UTS will offer you International SOS emergency support and UTS Travel Insurance coverage while studying.
UTS will also provide you a compulsory pre-departure session before your program, where among other things you will be prepared for your intercultural experience, meet others going on the program, learn about the services and supports available, and get tips on what to do in case of emergency.
4. Your studies
Most UTS global mobility programs are for academic credit toward your degree. To make sure this works, you’ll need to be on your toes, ready, be prepared and responsible!
You’re responsible for checking that your degree has space for the global experience to be credited, and that your studies abroad are acceptable into your UTS course. Be aware you may only participate if your study plan is approved by your Faculty, the host university or provider, and UTS global mobility programs.
As with anything rewarding, there will be lots details to get across when applying, but if you follow the steps in the UTS CareerHub and Application Portal you should be primed to have a valuable global experience.
5. Returning home
It’s a while off yet, but when you land back home from your global program, we’ll help you unpack your experience… and to share your global stories with others!
UTS global mobility programs asks you as an ambassador to share your stories with others on our Think Global Stories Hub or via #utsthinkglobal social media posts during or after your experience. We’ll always ask your permission before we do.
You’ll need to submit a Feedback Survey and attend least one return home activity, such as the Think Global Fair or promotion event, to share your experience with others.
6. Your privacy
UTS will respect and protect your privacy and handle your information as a UTS global mobility program participant as noted below:
- In applying for a Global Exchange, or a Global Short Program UTS will collect your personal information, including contact details, relevant documents and details of previous study, including any previous sanctions or misconduct. Some of this information may be sourced from, or verified with, existing records held by UTS. Your information will only be used by UTS and the nominated host institution to consider and process your application and manage your involvement where successful. UTS will also use information for quality improvement and planning processes.
- As part of approved arrangements, information about your application, enrolment, progress in your course, results, and any alleged misconduct or behavioural issues arising during these arrangements, will be shared between UTS and your host university. Your information may also be disclosed to the Australian Government and designated agencies and authorities where required for compliance with legislation, including the Education Services for Overseas Students Act 2000 (Cth). UTS will not disclose information relating to your application to external parties further to this privacy notice or the UTS Student Declaration, unless required or permitted by law.
- Information relating to your application and participation in these programs will be primarily stored in MoveON. MoveON is a cloud-based system with data held in the United Kingdom under contract with UTS. Records relating to applications will be retained in line with the university’s records management policy.
- Any request you may have to access, correct, delete if lawful, transfer your information, or withdraw your application should be referred to the Global Mobility Program Team. - If you provide inaccurate or incomplete information or you withdraw your consent for UTS to use and process your information, UTS may not be able to process your application.

7. Respectful Behaviour and Preventing Sexual Exploitation and Harassment - PSEAH policy
As a UTS student you have already completed the Respect.Now.Always. Consent Matters training, and understand that UTS values principles of mutual respect and inclusion in providing for a safe environment for participants in all programs (refer to our Equity, Inclusion and Respect Policy).
All UTS global mobility programs are compliant with the Department of Foreign Affairs and Trade (DFAT) Preventing Sexual Exploitation, Abuse and Harassment Policy (PSEAH). Find out more at the DFAT PSEAH site (opens external site).
As a participant in the UTS global mobility program, you will need to accept the expectations and requirements of the PSEAH policy. Further information on PSEAH and reporting an incident will be provided at global mobility program pre-departure events and materials.
If you witness an incident or are the victim of sexual harm or harassment while on a global program, you can seek support and may want to report an incident to UTS. Details of reporting an incident are available at Our commitment to a campus free of sexual harm.
When you complete an application for a UTS global mobility program, you will need to understand and agree to either the Exchange Program or Global Short Program terms and conditions.
