Join and interact in a Zoom meeting

How to join a meeting as a participant

The host of the meeting should provide you with a URL and/or meeting ID. If a URL is provided, follow the link to enter the meeting.

If only a meeting ID is provided, follow these steps: 

  1. Navigate to the UTS Zoom site. Sign in using your UTS credentials.

  2. Select ‘Join a meeting’ from the top navigation menu

  3. Enter the meeting ID into the text box. Select ‘Join’.

  4. You will enter the meeting when the Zoom application launches.

Can't access the internet? Use the teleconferencing phone number for your location to dial in with your phone. You will be asked to provide the meeting ID that your host provided you.

How to interact in a Zoom meeting

Once you have joined a Zoom meeting, you can interact with the host and other participants using your camera and microphone. You can also use non-verbal feedback options, including chat messaging and feedback icons, to interact without disrupting the meeting.

Use the meeting controls at the bottom of the screen to manage your camera and microphone settings, and for non-verbal chat and screen share options.

Mute your microphone when you are not talking to minimise audio disturbance for other participants.

Non-verbal feedback options appear when you select “Participants” (if the meeting host allows this). The options look like this:

Green tick = yes, Red cross = no, Blue hand = raise hand

How to share your screen

When requested to by a meeting host, you can share your screen while the meeting is in progress. Follow the guidance of the meeting host to know when to start and stop sharing your screen. Remember that content on your screen will be visible to all meeting participants, so close any windows containing private information.

  1. Once you are in a Zoom meeting, select ‘Share Screen’ from the bottom navigation menu.

  2. Select 'Desktop' to show your whole screen. Or select a particular application or window to only show content from that window.

  3. Select 'Share' to start sharing.
  4. If the meeting host has enabled the annotate feature, select ‘Annotate’ to draw on the screen.
  5. Select 'Pause Share' on the meeting controls toolbar to freeze the screen. Select 'Stop Share' to finish sharing your screen.

How to use the Whiteboard

The whiteboard feature allows you to collaborate with other meeting participants by drawing and writing on a virtual whiteboard page. Follow the guidance of the meeting host when using this feature. Remember that the content you create on the whiteboard will be visible to all other participants.

Tip: if you’re asked to collaborate on the whiteboard, but find that you’re unable to do so, remind the meeting host to “Allow participants annotation” in their Whiteboard controls.

  1. Once you are in a Zoom meeting, select ‘Share Screen’ from the bottom navigation menu.

  2. Select 'Whiteboard'.

  3. Select 'Share' to open the Whiteboard page.
  4. Select the icons on the Whiteboard toolbar to add and remove content on the Whiteboard page.

  5. Select 'Save' to download the Whiteboard page as an image file.
  6. Select 'Pause Share' in the meeting controls toolbar to freeze the Whiteboard page. Select 'Stop Share' to finish sharing the Whiteboard page.

Privacy information

When using Zoom and participating in a Zoom meeting, you must accept the privacy notice and terms and conditions.

Note that meetings may be recorded by the host, and hosts have access to meeting chat records.

Be aware when screen sharing that meeting participants will be able to see any information displayed on your computer or device screen. Close any windows containing sensitive or private information before sharing your screen.
