How to consent to AI invigilated exams and create a ProctorU account

If you had an invigilated exam last session and already provided your consent and created a ProctorU account, you do not need to consent again or create a new account.


Some online exams still need to be supervised to ensure academic integrity, just like the usual on-campus exams. We’re using a service called ProctorU to supervise online exams. ProctorU are one of the leaders in invigilated exams and used by universities worldwide and locally. Before selecting ProctorU, we also ran our own data and security checks to ensure student privacy and data will be protected.

What do I need to do? 

We're asking you to consent to supplying your personal information to ProctorU before you sign up. There are two steps to this process: 

  1. Log in to MyStudentAdmin and accept the consent form 

  2. Create an account with ProctorU using your UTS student email address 

You’ll receive a link to create your account after you have selected ‘accept’ on the consent form. Keep reading for instructions on how to create an account.  

Why do I need to consent to the supply of personal information? 

Transparency is important to us. That’s why UTS is asking students to consent first to supplying their personal information for the purpose of identity verification before signing up to ProctorU. This is so students have the chance to be fully informed about the ProctorU process rather than just asking you to sign up.  

To sit an invigilated exam using ProctorU, you’ll need to supply details such as name, UTS email address, contact phone number, and Student ID card (or other government-issued photo ID). At the time of your exam, you'll have your photo taken to verify your identity in conjunction with your photo ID. This ensures the right student is sitting the exam and provides fairness for other students by protecting the integrity of grades. 

It’s important to note that ProctorU will never use any student’s personal information for any reason other than invigilating online exams, and never sell any personal information to third parties. 

ProctorU will only ever collect information required to run an invigilated exam on the day. 

How do I consent?  

Once you have logged in to MyStudentAdmin:   

  1. Click ‘Consents’ on the top menu bar  
  2. Select ‘View’ next to Online Exams Consent.

You'll be shown a statement on what information is being collected and why. After you read the statement, you can select ‘accept’ or ‘decline’.  

If you consented last session, you don't need to consent again.

If you selected 'decline' last session you can change your answer at any time in MyStudentAdmin. To change your answer, click 'View' to view the statement again and select your new answer.

What happens when I agree? 

 We record your response in MyStudentAdmin and, on the next screen, you'll be directed to create an account with ProctorU.  If you already created an account last session, you don't need to create a new account.

What happens if I decline? 

Students who choose not to consent to supplying their personal information must do so before the deadline.

Once consent has been declined, students do not need to contact UTS to arrange an alternative examination date. Arrangements will be made for those exams to be held on-campus at the scheduled date and time and will be invigilated by UTS supervisors. Additionally, the availability window as displayed in MyStudentAdmin will not apply for on-campus exams and the exam will need to be completed within the allocated writing time.

You can change your consent answer at any time in MyStudentAdmin. 

You can only create an account with ProctorU once you have selected accept on the consent form. You only need to complete these steps if you are sitting an AI invigilated exam. 

How to create an account with ProctorU for AI invigilated online exams 

Once you’ve selected accept on the consent form, you’ll be given a link that will let you create an account with ProctorU. You’ll need to fill out a few fields of information. Here’s how: 

  • Institution: Scroll down until you find ‘University of Technology Sydney’ and select it.

  • First Name: Enter your first name as it appears on the photo ID you will use on the day of your exam (Student ID card if you have one, or other government-issued photo ID like a driver's license or passport).
  •  Last Name: Enter your last name as it appears on the photo ID you will use on the day of your exam (Student ID card if you have one, or other government-issued photo ID like a driver's license or passport).
  •  Username: Create a username for yourself. Make it something you can remember - like your UTS student email address - because you’ll need it to start your exam.  
  • Email: Enter your UTS student email address. It’s important that you use your UTS student email address so we can verify your identity when you sit your exam.  Your UTS student email address is your StudentIDnumber@student.uts.edu.au, or FirstName.LastName@student.uts.edu.au. If you've signed up already with a different email address, keep reading for instructions on how to change it to your UTS student email address.
  • Password: Choose a password for your ProctorU account. It doesn’t have to be the same as your UTS password – in fact, it shouldn’t be! Now is a great time to check you're being safe with your passwords.  
  • Password confirmation: Enter the same password to confirm.  
  • Time zone: If you’re in Sydney, Australia, scroll down until you find GMT+10:00 Sydney, Australia. If you’re somewhere else in the world, you’ll still be able to sit your exam.

  • Contact: At least one phone number is required, preferably your mobile number. This will only be used in the event of a technical issue where ProctorU can’t reach you online. They’ll call you to help troubleshoot so you can get back to your exam as fast as possible. 
  •  Address: Select the country you’re in from the drop-down. No other location information is required unless you're currently in the United States. If you're in the United States, you'll have to enter more information.

Finally, confirm you’re not a robot and click create account!  This is all you need to do. On the day of your exam, you'll use your details to log in.

For AI invigilated exams, you'll begin your exam using the Guardian browser directly from your Learning Management System, Canvas. Before you begin your exam you should download and install the Guardian browser.

I signed up with the wrong email address

If you created your ProctorU account with an email address other than your UTS student email address, or if your email address had a typo in it, you should correct it as soon as possible. You must use your UTS student email address in order to have your identity verified and to sit your exam. Your UTS student email address is your StudentIDnumber@student.uts.edu.au, or FirstName.LastName@student.uts.edu.au.

Here's how you can update your email address in your ProctorU account:

  1. Login to ProctorU.
  2. Click on your username in the top right corner, and select 'Account settings' from the drop down menu.
  3. Here, you can update your username, email address, and other settings as needed. Click ‘Update Account’.
  4. You may be prompted to enter your current password to confirm the updates.

There's one more things to do before you’re ready to sit your AI invigilated exam:

On the day 

On the day of your exam AI invigilated exam, you need to log in to your Learning Management System (LMS), Canvas. Follow this guide for instructions on how to begin your AI invigilated exam and verify your identity on the day of your exam. After your exam you'll be asked to complete a short survey on your experience. 

Other things to remember for the day of your invigilated exam include:

  • Pyjamas and ugg boots are OK, but hoodies, sunglasses, and hats are not permitted.  

  • Ask housemates and family members who share your house to give you some privacy. You must be by yourself while you sit your exam. 

  • Shut the door and turn the lights on. For invigilated exam you must be in a private, quiet and well-lit space. 

  • Take your watch and other wearables like fit-bits off. You can check the time on your computer screen.  

  • Have your Student ID or other government-issued ID ready to go. The identify verification process can take a little while, but don’t worry – your exam timer doesn’t start until you are in your exam.  

  • Disconnect any secondary computer monitors and close all programs except the one you’ll be using for your exam. 

  • Tidy away all notes and other non-permitted items from your exam area (including your mobile phone). If you write notes on your hand, make sure to wash those off before your exam.  

  • Have a drink of water and go to the bathroom before your exam so you don’t need to get up during your exam.
