UTS has partnered with Eftsure, a reputable organisation for the management of supplier onboarding and secure payment services.
Eftsure information for UTS suppliers
Eftsure verifies all supplier details ensuring that supplier payments are protected against fraud and error. This is done by validating ABN and bank account details to ensure payments are made to the intended recipient.
Once a supplier has been verified, it is an easy and seamless process. We will require you to register as a supplier with Eftsure and validate your company’s details as outlined below.
How secure is Eftsure?
Supplier data is stored in Eftsure servers, which are physically located in Australia, including back up servers. You may already be using Eftsure with other vendors. They presently work with many clients across Australia, including a number of universities, for example, Griffith University and Notre Dame.
How can I tell whether this is a scam or not?
When you follow the instructions to verify your details on Eftsure’s website, you will see your bank account details are partly populated, which identifies you and names UTS, which confirms the legitimacy of the email.
New UTS suppliers
To register as a new supplier, a member of the UTS Vendor Maintenance team will send you a link containing details on how to onboard via the Eftsure portal.
As part of the onboarding process, you will need to provide these details:
- ABN and GST registration (applies to domestic suppliers)
- Company name or trading name
- Address
- Bank account details.
- Other relevant information
After you have entered your company details, you can expect an Eftsure team member to call you on an independently-sourced phone number to confirm that the details are correct. The team member may be based in Australia or overseas.
If you are an international supplier, you may receive a call from the UTS Supplier Maintenance Team instead of the Eftsure team. This may also happen if Eftsure is unable to get in touch with you.
Existing UTS suppliers
If you are an existing UTS supplier, Eftsure will validate your account details against its database of over four million verified suppliers.
If you have not provided goods or services to UTS within a period of 12 months, you will be required to re-validate your account details with Eftsure. Please contact the UTS Supplier Maintenance Team who can provide you with a secure link to do this.
How to change your data with Eftsure
It is your responsibility to ensure your details are up-to-date. Please notify us immediately if your details change, or if you notice any discrepancies.
To update your details, contact the area of the department that you normally do business with or the UTS Supplier Maintenance Team, who will send you an ‘Eftsure change request’.
You will then receive an email with a link to update your data in their portal, and then a confirmation email once your data has been verified.
Depending on the data to be updated, you may receive a phone call from an Eftsure team member to verify your details over the phone before you receive a confirmation email.
How to verify the legitimacy of a call from Eftsure
In the event you choose not to validate your account details via the Eftsure bank link functionality, you can select a date and time via a feature called “Calendly”. This enables you to have a phone call verification from a member of the EFTSURE validation team who can verify your bank details over the phone at a time convenient for you.
Once Eftsure has finished the verification process, they securely pass your information to UTS for entry into our finance system. You will then receive a confirmation email from Eftsure when your data has been verified.
