9 need-to-know systems for new* students

New student to UTS? Welcome!  While you’re busy meeting people and finding your way around campus, you’ll also be hit with a host of names for all the online systems and tools you’ll be using. 

So, if ‘MSA’ means nothing to you or you haven’t the slightest idea about the difference between ‘Timetable Planner’ and ‘myTimetable’, this explainer is for you. 

But first, you'll need to set up multi-factor authentication (MFA) on your UTS user account to access UTS systems. So if you haven't already, go to login.uts.edu.au to set up your MFA.

*or not-so-new students keen for a refresher!

1. My Student Admin

Known as MSA for short, this is your ‘about me’ for official uni purposes. It’s where you’ll update all your important information like your contact details, request your invoices and results, and importantly enrol and withdraw from subjects each year.

2. CaptureME

Haven’t sorted out your student card? You’ll need CaptureME, an online platform that UTS uses to create ID cards for new students. Not only will your ID get you access to facilities across campus, but it’s a must-have for exams.  

To use it, take a photo of yourself (that complies with the UTS photo ID requirements*) from the comfort of your own home and upload CaptureME portal. If approved, UTS will use your photo to create an ID card for collection on campus.   

*AKA: keep it natural and save the glamour for Insta.

3. Timetable Planner and myTimetable

Timetable Planner is where you can view subject timetables. Browse subjects using filters like ‘session’ (think Autumn, Spring, Summer), ‘study mode’ (think online or on-campus) and faculty area. It's a great tool to explore what’s on offer and when. 

myTimetable is the place to actually book into your classes (hence my timetable).  

Once you’ve enrolled in a subject via MSA (see #1), myTimetable is where you next go-to to book into your preferred timeslot for subject activities (activities being lectures, tutorials, seminars, workshops or labs). If your activity is offered multiple times (say your tutorial is offered on both Tuesday night and Wednesday morning) this is where you can book into the day and time that best suits your schedule.  

Pro tip: Don’t leave this too late! Classes can fill up so get in early when enrolment opens.  

4. Canvas

Your online learning platform. This is where you can view course outlines, pre-reading materials, online discussions and assessment materials for all of your enrolled subjects.

5. Teams

Have a group assignment? Teams is a great collaborative app (within Microsoft Office 365) that you can use to collaborate on assignments or organise social club stuff - it will allow you to chat, share documents and make calls (similar to Whatsapp).

Just search for ‘Microsoft Teams’ in the Apps Store or Google Play and log-in with your student email. 

6. Outlook

Download the Outlook app to access your UTS email – where we’ll send any important information, notices and the weekly student newsletter ‘Insider’.  

We know you probably have a private email address already, but due to privacy and compliance, UTS needs to communicate with students via an official university email address.  

Just search for ‘Microsoft Outlook’ in the Apps Store or Google Play and log-in with your student email. 

7. UTS Handbook

Want to know the ins-and-outs of your subjects? This is the official source for all the detailed information about subjects and courses – from subject descriptions, pre-requisites, course structures, study mode, etc. 

8. Student Portal

From the portal (not to be confused with the Supporting online study portal – see below for that), you can submit eRequests, AskUTS enquiries and Special Consideration applications.

An ‘eRequest’ is an online application you can submit if you need to make official changes to your study plan that you cannot self-manage in My Student Admin.

Ask UTS is how you can get in touch. Submit an online enquiry or call 1300 ASK UTS (1300 275 887). 

9. Supporting Study Portal

Get everything you need to succeed (and have fun) at uni, including academic support, health and wellbeing help, social events and fun stuff like student podcasts and more!
